This Opportunity

WSP is currently initiating a search for a Project Coordinator to join our Environment & Infrastructure Team serving a dual role as project controls analyst for the Southern States Western District (50%) and project coordinator (50%) for key strategic transportation and industrial clients for multiple projects, multi-disciplines across the eastern United States. This position will be based in the WSP Nashville, Tennessee office, but could be performed remotely if the identified hire is not local or willing to relocate. This position includes an opportunity to also support the Service Line Lead with managing project performance, including monthly reporting, assistance with project set ups, procurement, and client specific billing documentation . Specific tasks would include tracking project cost against budget including committed and expensed costs and allocation to WBS (Work Breakdown Structure), recommending recovery plans for project cost overruns, preparing associated internal and client documentation, and communicating / coordinating with the Project Manager, internal process staff, and the client to facilitate necessary changes.

This position provides an opportunity to join a fast-paced team who provides solutions on environmental and engineering projects. Your role could include involvement with day-to-day determination of the financial health for the Service Line (running reports and building spreadsheets) for the SLL and assisting the two CSXT Contract Managers and various Project Managers for the CSXT program through all stages of a project’s life cycle (proposal, execution, invoicing, and closure). Your Impact

  • Serve as the Project coordinator for current and future project(s) for a long-term transportation client;

  • Review financial status of multiple projects to support project managers ;

  • Assists in the maintenance of the project cash flow as required by the organization;

  • Assist in change control management and in the forecast analysis for costs;

  • Verbal and written interface with client, project and account management, internal process staff and operational managers;

  • Support Project Managers and internal stakeholders in using the Horizon financial platform (Oracle) to set-up new Opportunities and finalization of new Projects;

  • Responsibilities will also include assisting Project Managers with the planning and execution of projects, including project set-up, project implementation, and closing as per WSP’s Project Delivery procedures;

  • Assist with developing and maintaining project Work Breakdown Structure and schedule;

  • Coordinate logistics in support of project tasks, including team personnel travel or field equipment ordering;

  • Track and monitor budget and expenditure under the guidance of the WSP Project Managers;

  • Direct interface with the WSP Project Accountants regarding client invoicing, payments, and the monthly project billing cycle;

  • Track and manage compliance with requirements of quality management processes or plans;

  • Coordinate and document team communications;

  • Assist with the coordination of document delivery, updates, filing, and implement other control systems;

  • Visible support resource for knowledge of WSP Oracle Fusion systems and protocols with Project Managers; and

  • Provide non-technical document review, proof-reading for accuracy, completeness, compliance with corporate policies, formatting adherence, including grammar, punctuation, and spelling.

Who You Are

Required Qualifications:

  • Minimum of 5 years(s) relevant experience in project financials and/or 3-year(s) experience with relevant bachelor’s degree and/or professional training. Must possess ability to self-motivate and learn new financial system (Oracle Fusion platform) with mentoring;

  • Solid knowledge of project management practices and procedures;

  • Computer skills and experience with industry standard commercial computer software including Microsoft Office (Outlook, Word, Excel, and PowerPoint) as well as general accounting and financial management software;

  • Excellent verbal skills with writing and organizational skills, a positive attitude, and ability to work both independently and within groups;

  • Effective interpersonal and communication skills when interacting with others, expressing ideas effectively and professionally to a scientific and non-scientific audience;

  • Ability to read and comprehend complex instructions, correspondence, and memos;

  • Strong problem-solving abilities, organization, and attention to detail; and

  • Understanding the importance of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies.

Preferred Qualifications:

  • Experience with project documentation and submittals is a plus;

  • Background or knowledge in project management and providing performance reports to Project Managers, Project Directors, and Service Line Lead;

  • Work experience in a consulting environment or similar-project-based business; and

  • Intermediate to advanced understanding of Adobe Acrobat, MS PowerPoint, and Oracle .
